Document instructions apply only to documents you can manipulate.

General Document Guidelines

Document Headings

  1. Precisely label your document title
  2. Mark any heading within your document as a heading
  3. Apply headings in descending order (e.g. "Heading 3" should always be underneath "Heading 2")

Document Text

  1. Emphasize things sparingly (with only bold or italics)
  2. Only underline links
  3. All images should have alt tags
    • MS Office: right-click image > Select Format Picture... > Select Layout & Properties > Alt Text
    • Google Office: right-click image > Select Alt text
  4. Ensure text is large enough to read (generally, at least 11 point font)

Document Links

  1. Precisely, uniquely, and consistently label links
  2. Underline all links (don't style them as buttons)

Document Color

  1. Any colors used should retain a contrast of at least 4.5:1 (check with Level Access's: Color Contrast Checker)

PDFs

  1. Avoid PDFs (if possible)
  2. Follow General Document Guidelines
  3. When creating PDF from Microsoft Office products:
    1. Apply the MS Office Accessibility Checker (see below)
    2. Immediately before saving/exporting to PDF:
      1. Click Options

      2. Ensure Document structure tags for accessibility is selected

  1. Follow General Document Guidelines
  2. Check with Word's built-in accessibility checker: FileCheck for IssuesCheck Accessibility

Microsoft Excel

  1. Follow General Document Guidelines
  2. Clearly and uniquely name sheet tabs

  3. Remove blank sheets
  4. Check with Excel's built-in accessibility checker: FileCheck for IssuesCheck Accessibility

Microsoft Powerpoint

  1. Follow General Document Guidelines
  2. By default, titles are read first. To change: Go to Home, Arrange, Selection Pane, then adjust layers accordingly (layers are read by screen readers from bottom to top)
  3. Check with PowerPoint's built-in accessibility checker: FileCheck for IssuesCheck Accessibility
